Basically the basics #
Hi there:) so it seems you’ll take care of the logistics of the consumer direct deliveries huh? well, it won’t be as hard as you think but you’ll have to pay close attention to all the details to make sure everything runs smoothly.
You might be wondering, what exactly are the consumer direct deliveries? They are the deliveries we do on Saturdays (4pm-9pm), Sundays (8am-10pm) and Mondays (7am-5pm) to all of the individual clients who place their orders on our website throughout the week (From Saturday when the new menu is published until Thursday midnight when it is taken down in preparation to close our ordering cycle)
Delivery report vocabulary #
Let’s start with some vocabulary to get familiar with everything to prepare this report
Delivery report: It’s a report in a spreadsheet format that contains all of the information required to plan the delivery logistics of our company to multiple locations during the delivery dates. This info includes data such as the name of the client, address, phone number, buzzer number, suite number, city, etc.

Ice packs: They are gel packs that keep our food fresh and cool inside our cooler bags. *Sometimes clients will request more than one ice pack per bag and this needs to be included in the delivery report in front of the person’s name so the delivery team can put the correct amount of ice packs for each client*

Extra ice packs: It’s when a client requests to have more than one ice pack per bag because they might get home or to their pick-up location later in the day and would like to make sure the food is kept cool and fresh. Please Make sure to include this note in front of their name bolded and red in color.
Cooler bag: These are specially designed bags that can keep the inside cool even when the outside temperature is hot with the help of the ice packs inside of it.

Bag collection: These are requests made by our clients to pick their bags up at their home because they are taking a break from our service or will simply be away for some time and would rather return the bag while they’re not using it.
Spent Grounds (paused): This is one of our wholesale customers to whom we deliver to during our direct client routes, more specifically on the Monday morning route from 7-9 am time frame of Surrey. This order has to be manually added since they don’t order in the same system that our direct clients use. The time frame has to be adjusted to 7:55 am-9 am when you are adding the delivery because they only open at 8 am.

New clients: These are clients that are just starting their service for the first time during the delivery week. They will be listed on google drive. To be precise in the folder Sales – (Month) – (Week) – NEW CLIENTS (MONTH) (DATE). Here’s an example of how a new client sheet looks like 🙂

Pick-up locations (Our facility *9265 Shaughnessy street* and gyms): These are locations in which our clients come to pick up their meals, instead of we directly delivering to their homes. These locations include gyms and our facility. Some examples of these gyms would be Crossfit BC West Vancouver, Crossfit BC Vancouver, True conditioning, and Semiahmoo athletic club.
Holidays: Whenever there’s a holiday, our deliveries will be done in 4days (Saturday 4pm-9pm), Sunday (8am-10pm), Monday (7am-5pm) and Tuesday (9am-1pm ONLY VANCOUVER area) instead of only Saturdays, Sundays and Mondays. This is because many of our clients want their meals delivered to their offices and since they don’t open on Sunday and Monday, Tuesday is the only day we can deliver to them whenever there’s a holiday.
